The questions we get asked.
About how it works, about data, about price. If yours isn’t here, write to us.
For your guests
- Do my guests need to create an account?
- No. They scan the QR code, agree to their selfie being processed and see their photos. No email address, no password.
- Do they need to install an app?
- No. Everything happens in the phone’s browser, the one that opens when you scan the QR code. There’s nothing to download or update.
- What if a guest says no?
- Nothing happens: no processing, no photos. Saying no is a choice we take seriously, not a hurdle to get round, and the page won’t ask again.
For organisers
- How much does it cost?
- Your first event is free. You pay when you open the event to your guests, once your photos are uploaded and sorted. An event is paid for once, nothing per guest or per photo. You’ll choose the plan when you open the event to your guests. Current prices are shown on the pricing page.
- Can someone else upload the photos for me?
- Yes. You invite them to the event as an admin: they upload the photos and manage guests, but can’t rename or delete the event.
- How many photos can I upload?
- As many as the event has. Uploads are done in bulk, and sorting starts without you having to wait for the upload to finish.
- How large can a photo be?
- Up to 50 MB per photo, whatever the plan, as JPEG, PNG, WebP or HEIC. A retouched photo exported as a maximum-quality JPEG almost always stays under that limit. Anything larger is refused as soon as you select it: re-export it as a JPEG, then add it again.
- How do guests get the QR code?
- You print it and display it: on the tables, the name badges, a pull-up banner at the entrance. It’s the only thing your guests need to see.
- Why am I asked to accept an agreement before sharing an event?
- With the Agency+ subscription, every covered event includes the joint controller agreement (Article 26 of the GDPR). It is accepted once per event, at its first share, on behalf of the company responsible for that event: yours or your client's. Once accepted, it can be downloaded from the event's settings.
- Can I show the photos on a screen during the event?
- Yes, that is the wall. In the Photos tab, open an album and choose "Project on the wall", then open the wall link on the venue's screen, no account needed: the album's photos scroll by, with a QR code in a corner that takes your guests to the event, to send their photos or find theirs. Putting a photo in that album puts it on the wall, and you can project several albums at once. The wall is included in every plan. You can replace its link at any time, and the old one stops working at once.
- My event includes children: what should I do?
- Keep guest photo approval on: nothing enters the gallery or the wall before you approve it, and nothing is analysed until then. Before sharing a child's image, make sure you have their parents' consent. Remove a photo or a face as soon as a parent asks you to. Selfie search is only open from the age of 15.
For conferences and agencies
- Who receives the invoice, the agency or the client?
- For a single event, the invoice goes to the holder of the account that pays for the event, with the details and VAT number entered at payment. An event paid for individually stays in that account and cannot be handed to a client afterwards. With a subscription, the subscription invoice goes to the agency: you can then hand your client an event covered by the subscription. By accepting it from their account, they become its owner and responsible as the organiser; you can stay on as an administrator for their account.
- Can it be built into the conference app?
- A link or a QR code is enough: it can be added to the app, the website, the badge or the screens of the conference. No native integration with a conference app exists for now.
- How many photographers on a single event?
- As many as you invite: each uploads on their own to the same event, and the face sorting covers all the photos. Only a subscription's team has a number of seats, shown on each subscription.
- Do sponsors receive statistics?
- Not per sponsor: no count of scans, downloads or clicks is provided per logo. A sponsor is shown with a link to their website. What the service produces for an event is a participation report, with no names, in the plans that include it.
- Our client's DPO asks for a data processing agreement.
- The roles are published in the DPO file. For the photographs, the company responsible for the event and the service are joint controllers (Article 26 of the GDPR); for the analysis of faces, the service is the sole controller. In the plans that include it, the joint controller agreement is concluded online for each event, in the name of the company you designate: your own, or your client's if you have their agreement to bind it. It can then be downloaded as a PDF. If you act on behalf of your client, the relationship between the two of you, including any data processing contract, is settled between you: the service is not a party to it. For a question the file does not cover, write to us.
About data
- What happens to the selfie?
- It’s used to calculate a digital face print, which is the only thing that enables matching. The participant can delete it at any time from their privacy centre, and the face print is deleted automatically after 90 days. Our encrypted backups expire within the following 30 days.
- What happens when a guest deletes their data?
- Their faces are removed from search across the whole event. So that nothing of them is left behind, the deletion also removes faces that closely resemble theirs: someone who looks very similar may then no longer be found on some photos, nor be selectable for an album. The photos all stay in the gallery, and albums already put together do not change.
- Does it comply with the GDPR?
- A face print is biometric data, which Article 9 of the GDPR places among the most protected categories. Here, its processing is based on the participant’s explicit consent, never pre-ticked and revocable at any time. Data is hosted in the European Union.
- Could I be shown a photo I’m not in?
- That’s the mistake the product works hardest to avoid. The matching threshold is set to strict: better to miss a photo than to show one by mistake.
- Are the photos sold on or reused?
- No. Neither the photos nor the face prints are sold, transferred or used to train anything.
- What does the wall show, and who answers for it?
- The wall only shows the photos of the projected album, never the whole gallery, and never a photo still awaiting review. The organiser answers for what they project: they choose the album, what goes in it and whether they review the photos their guests send from the QR code, inform the people present and take a photo off the wall on request. If they choose, the first name of the person who sent a photo shows under it, never for their team's photos. A face removed at a person's request only appears on the wall blurred.
